Rental Policies
Before Poppy rolls off to help create unforgettable memories, we ask that all renters take a moment to review our rental policies. These guidelines help ensure a smooth, stress-free experience for everyone while keeping Poppy looking her best for each celebration. From booking and payments to setup, weather, and event-day expectations, our policies are designed to protect your rental and our beloved Poppy- so she can continue making picture-perfect memories for years to come.
Booking & Payment
Booking Poppy is simple. Start by submitting a Request a Quote through our website with your event details. We’ll review your information and send you a personalized quote based on your event needs. Once you’re ready to move forward, simply approve the quote and pay the 30% refundable security deposit and sign the rental agreement to officially reserve your date. Your remaining balance will be invoiced and is due 15 to 30 days prior to your event. Once everything is complete, you can relax knowing Poppy will be ready to help make your event picture perfect.
Power
To keep Poppy running smoothly during your event. We require access to one dedicated 20-amp electrical outlet within 100 feet of the set up location. If power is unavailable, please let us know in advance so we can discuss alternative options. Reliable power helps ensure the photo booth experience is seamless from the first photo to the last.
Location & Access
To ensure a smooth setup, Poppy requires a safe, level, and easily accessible location. Please confirm your venue has adequate space for the trailer, towing vehicle, and guest access, along with any required venue approvals before your event. If your event location has limited access, steep grades, tight turns, soft ground, or other restrictions, please let us know in advance so we can determine the best setup plan and help avoid any surprises on event day.
Time
Your rental time begins and ends at the times outlined in your rental agreement. To ensure every event runs smoothly, we kindly ask that set up and tear down times are respected. If you’d like to keep Poppy a little longer, additional rental time for a fee may be available, subject to availability.
Damage
Your refundable security deposit helps cover the cost of any damage, excessive cleaning, missing items, or replacement costs beyond normal wear and tear. If damage or replacement costs exceed the amount of the security deposit, you authorize us, as outlined in the rental agreement, to charge the payment method on file for the remaining balance, plus a 20% restocking fee. Our goal is always to return your full deposit, and with a little care, Poppy will be ready to create memories for many celebrations to come.
Weather
Poppy loves celebrating outdoors, but her safety always comes first. In the event of heavy rain, high winds, flooding, or other unsafe weather conditions, we reserve the right to pause, relocate, or discontinue service to protect our trailer, equipment, and guests. We’ll always work with you to find the best solution whenever possible so your event can be as picture perfect as planned.
Guest Conduct
We want everyone to have a fun, safe, and memorable experience with Poppy! To help keep our vintage trailer in beautiful condition, we ask that guests treat her with care and respect. No smoking, vaping, standing or climbing on the trailer, or rough or inappropriate behavior is permitted. Our attendant is there to help, so we kindly ask that all guests follow their instructions throughout the event.
Cancellations
We understand that plans can change. Cancellations are subject to the following refund schedule:
30 or more days before event. will receive a full refund on the rental balance and the refundable security deposit.
Cancellations made less than 30 days before event are non- refundable, including the security deposit.
Picture Perfect Campers is not responsible for delays, cancellations, or damages caused by events beyond our control, including acts of God, severe weather, venue restrictions or government actions.
